This position also functions as the Receptionist and greets visitors to the office.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
Other duties may be assigned to meet business needs.
Provide administrative support for the CEO, the CFO, VP of Administration, VP of Land Development, VP of Sales & Marketing, Purchasing Manager, and the Production Manager; Overall assistance in organization and task management; Sort, open, date all incoming mail; process outgoing mail to include courier, certified, overnight, Fed-Ex, UPS or other deliveries; Distribute incoming faxes and Maintain the fax machine; Receive and direct incoming phone calls and greet visitors to the Office; Update and distribute phone extension directory; Provide clerical support to staff, to include filing; Order and monitor consumption of office supplies; Scan and index completed sales contracts and change orders; Distribute sales contracts and change orders using the web portal; Forward documents to banks at the request of the CFO and maintain a log of documents sent and to where they were sent; Monitor the A/P email address and forward emails to bookkeeping; Uphold the company values and adopt the company habits.
Know the company vision, mission, objectives, and continually communicate and reinforce these to subordinates and coworkers; Complete weekly time cards in accordance with Company requirements; Required to work 5 days per week, 8 hours a day, with overtime (with management approval) and Saturdays if/when needed; Must maintain a professional appearance with appropriate work attire; Submit suggestions for improvement on processes and procedures; Conform with and abide by all regulations, policies, work procedures and instructions; Conform with all safety rules and use all appropriate safety equipment; Assist with the coordination and organization of Company meetings and events.
Qualifications/Requirements Must be able to read and interpret written documents, letters and forms when needed; Must be able to communicate professionally and clearly with Staff, Management and visitors to the Office; Ability to work and interact with departments throughout the organization; Must be computer literate; Must be competent with MS Word, MS Excel and have the ability to learn and work with other software programs.
Education/Training/Experience High school diploma or equivalent as a minimum; Some college or degree would be a plus.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
